Project Assistant

Provide support for the project management staff on multiple projects from preliminary design through construction phases by assisting with support task associated with the project, including communications with team members, facilitating meetings, assisting with helping organize and prepare documents and reports.  This position requires interaction with the firm’s project team members (designers and engineers from the mechanical, plumbing, electrical, and technology systems disciplines), as well as architects, consultants, clients, and contractors to identify project requirements. 



  • Assist with managing multiple priorities and projects, meeting tight deadlines.

  • Assist with project planning.

  • Assist with maintaining project management reporting software; creates, updates and distributes project/client files and generates schedules and reports. 

  • Schedule meetings and maintain meeting minutes.

  • Document control and organization. 

  • Tracks project budgets and may assist in client invoicing. 

  • Assists with client and contractor communications. 

  • Supports change order management, estimates and quality control. 

Required Knowledge and Skills:

  • Bachelor’s degree or 2+ years of relevant experience

  • Must be highly organized and process driven to coordinate multiple projects efficiently. 

  • Working knowledge of Excel, OneNote, Word, etc.

  • Excellent oral and written communication skills.

  • Ability to work well within a team structure.

  • Ability to learn & grow professionally.

  • Demonstrate a strong work ethic.

Preferred Knowledge and Skills:

  • Working knowledge of Microsoft Project, Planner or Similar

  • Working knowledge of Smartsheet

  • Experience using ProCore

  • Experience using BlueBeam

  • Full Professional Proficiency in Mandarin
